Administration Assistant

Maas Plumbing (trading as O'Brien Plumbing) are currently seeking an Administration Assistant to support the O'Brien Plumbing Operations Manager to ensure all administration tasks are completed in a timely and accurate manner.

We are looking for someone who is self-driven and organised, who can establish and maintain relationships with all departments while maintaining the flexibility to work across several duties and manage multiple deadlines. 

Assisting the Operations Manager with job-related tasks, including, but not limited to:

  • Issuing of purchase orders and invoices
  • Creation of jobs in Simpro 
  • Corresponding with suppliers, customers and employees
  • Managing payment status of receivable invoices 
  • Scheduling employees to jobs
  • Resolving customer account queries 
  • Provide general administration support to all departments in the business
  • Prepare all communications, emails, invoices, reports and other correspondence
  • Provide consistent and high-quality customer service
  • Document processing and data entry
  • All other reasonable duties as requested by the Operations Manager

Knowledge and experience required:

  • Previous experience in a similar role, preferred not essential 
  • Excellent communication skills 
  • Time management skills and ability to meet deadlines
  • Preferred knowledge of AP/AR procedures
  • Competent Microsoft PC skills and aptitude
  • Attention to detail and a high level of accuracy 
  • Use of initiative, proactive and organised approach to work

This is a full-time position based in Dubbo NSW with O'Brien Plumbing team and supporting the Commercial Construction business unit.
